The Simple System I Run Everything On

 

People often ask what tools I use.
Not in a “what should I buy” way
In a “how do you actually run all of this?” way.

This isn’t a recommendation post.
It’s a disclosure.
I use a lot of software.

But this is the core no-code stack I run my entire operating system on … across writing, consulting, media, community, and business.
I don’t think about these tools as software.
I think about them as organs in a living system.

I Don’t Run a Tech Stack. I Run an Organism.

Most people collect tools.
I build systems that can survive attention shifts, team changes, and long time horizons.

That means:

  • low cognitive drag
  • few dependencies
  • clear roles
  • humans where judgment matters
  • automation where it doesn’t

Here’s the core.

Kajabi - The Heart

Kajabi is the heart of everything I do.

It pumps value outward:

  • ideas → access
  • insight → products
  • trust → transactions

It’s where content becomes usable.
Where thinking turns into structure.
Where people enter the ecosystem.

Is it perfect? No.

Is it flexible enough to keep the system alive without constant tinkering? Yes.
That’s why I use it.
I don’t need the smartest tool.
I need the one that keeps things moving.

Notion - The Subconscious

Notion is where everything lives.
It’s not where I decide things.
It’s where things accumulate..

  • raw ideas
  • drafts
  • fragments
  • notes
  • half-formed frameworks (and full SOPs)
  • institutional memory

It’s the subconscious layer.

  • Always on.
  • Non-linear.
  • Instantly retrievable.
  • A living library.
  • A private wiki.
  • A place where patterns form before I’m consciously aware of them.

This is the incubator

Airtable - The Nervous System

Airtable is awareness.
It knows:

  • what’s connected
  • what changed
  • what depends on what
  • what’s true right now

If Notion is memory,

Airtable is coordination.

This is where structure lives.
Where relationships are explicit.
Where reality can be queried.
Most systems collapse here.
This is the part people underestimate.

Zapier - The Reflexes

Zapier handles what shouldn’t require thought.

  • routing
  • confirmations
  • background handoffs
  • quiet automation

Automation isn’t about speed.
It’s about reducing cognitive drag.
Reflexes prevent overload.
They free judgment for the work that actually matters.

What This Stack Is Not

This is important.
This stack is not for:

  • people who love tinkering
  • those chasing “perfect” systems
  • enterprise governance purists
  • anyone who wants to outsource thinking to software

It’s built for:

  • clarity over complexity
  • iteration over optimization
  • humans over dashboards

Tradeoffs are intentional.

The Rest of the Tools

I use many other tools … design, communication, finance, analytics, media.
But they orbit this core.
Rather than pretend otherwise, I keep a living list of everything I use: 

  • the tool
  • what I use it for
  • why it exists in the system
  • and a direct link

Some links are affiliate links.
Most aren’t.
I don’t recommend tools lightly.
If something is here, it earns its place.

Why I Share This

Because tools don’t create leverage.
Clarity does.
A clean system removes friction.
It lets you think longer.

Build slower.
Compound deeper.

This stack isn’t impressive.
It’s dependable.
And that’s the point.

This system just gets out of the way … so the real work can happen.
